Advance Shipments

Global Convention Services (GCS) is the official general contractor for the e-Health26 Conference and Tradeshow. The GCS Global Advanced Warehouse will accept shipments from May 25, 2026, to June 8, 2026. Exhibitors will be responsible for the costs of advanced warehousing services. Please note that shipments sent directly to the advanced warehouse without a scheduled dock time may be subject to receipt or rejection based on dock availability.

Arrival Instructions

  • Arrive at Market Street (temporary pickup and delivery only – parking is prohibited)
  • Announce arrival at driver door intercom
  • A bay will be assigned (caution—bay doors open outwards)
  • Wait for instruction before approaching
  • Dock manager will direct you into the bay
  • Dock information: 3 – 5 tonne truck, scissor lift; 4 – 2 bays, each accommodating a 14’ cube van, direct access to freight elevator; 5 – 2 bays, each accommodating a 53’ trailer, dock leveller

Booth Equipment: 10 x 10 Exhibit Space

Each 10′ x 10′ booth space includes the following:

  • Black pipe and drape: 8’ high backwall and 3’ high sidewall
  • One 6’ black skirted table
  • Two padded conference chairs
  • One waste basket
  • One 7” x 44” Booth ID sign (black uppercase font – no logo)
  • One 4” x 6” booth identifier on the floor in front of the booth

Onsite storage is limited to under-table space. Carpet, electricity, and wired internet are available for an additional cost through GCS. Free Wi-Fi will be available on-site, but if you require a faster connection or more bandwidth, you can request a dedicated internet connection through GCS. Both wired and wireless options are available.

Booth Equipment: Academic Kiosk

Academic Kiosks include the following:

  • 1 white counter size 2 metres wide x 1.5 metres high (78.74 inches wide x 39.37 inches high) with sliding door access and customized branding
  • 1 wastebasket (stored inside counter out of site)
  • 2 black fabric bar stools

Electrical is not included in Kiosk Zones. Electricity is available for additional costs through GCS. Free Wi-Fi will be available on-site, but if you require a faster connection or more bandwidth, you can request a dedicated internet connection through GCS. Both wired and wireless options are available. 

** NOTE ** No additional furniture can be added to Academics Kiosks, other than Pop-up Banners.

Free Wi-Fi will be available on-site, but if you require a faster connection or more bandwidth, you can request a dedicated internet connection through GCS. Both wired and wireless options are available.

Booth Rigging

Booth rigging is allowed at Halifax Convention Centre. For more information, please contact Kirk Beazley at 902-233-5316 or email kirk.beazley@encoreglobal.com.

Carpet

The exhibit floor will be carpeted in ballroom grade carpeting. Additional carpet may be ordered through GCS to complement your booth space. If ordering carpet in a booth space that has carpeting, the carpet will shift or stretch if heavy items are dragged across it. This may result in bubbling of the carpet creating safety concerns due to tripping. If you are aware this will occur in your booth due to the nature of your display, please connect directly with GCS at info@globalconvention.ca prior to ordering to discuss appropriate labour options to ensure safe carpet install for your booth.

Customs Broker and Logistics

Expo Express will offer customs brokering and logistics services.

Dates and Deadlines

  • Early Bird pricing on tables, seating, carpet, cleaning, advanced warehouse, and material handling are available until March 31, 2026. Onsite orders subject to retail pricing.
  • Please send any graphic submissions (for additional order items) to GCS by May 24, 2026
  • Advanced warehouse shipments to GCS will be accepted between May 25– June 8, 2026. Early deliveries will be subject to storage fees. GCS to offer 20% discount if ordered by March 31, 2026.
  • Exhibitor Move in
    • Saturday, June 13, 2026, from 1:00 p.m. – 9:00 p.m. Atlantic Time
    • Sunday, June 14, 2026, from 9:00 a.m. – 4:30 p.m. AT. All exhibitors must be set up by 4:30 p.m.
  • Exhibition Open
    • Monday, June 15, 2026, from 9:45 a.m. – 5:30 p.m. AT
    • Tuesday, June 16, 2026, from 9:30 a.m. – 3:45 p.m. AT
  • Exhibitor Move out
    • Tuesday, June 16, 2026, starting at 5:30 p.m. and ending at 11:59 p.m. AT. Exhibitors must wait until 5:30 pm to start move out.
  • Exhibitor Forced Freight
    • Tuesday, June 16, 2026, at 9:00 p.m. AT

Electricity

Exhibitor Badges and Booth Staff Registration

  • Exhibits must be staffed at all times during the trade show hours and representatives must wear the official conference badge while in the exhibit area.
  • Each booth staff member must be registered individually.
  • Exhibitors receive 2 complimentary exhibitor badges per booth (1 booth = 2 free badges / 2 booths = 4 free badges). Use the ‘Exhibitor Staff’ registration code provided to register 2 staff members per booth.

Exhibitor Logos

Please email a high-resolution version of your logo suitable for large-scale printing to communications@e-healthconference.com  Ideally, this should be a scalable vector file (such as .AI, .EPS, or .SVG). If a vector file is not available, we can also accept high-resolution .JPG, .PNG, or .PDF files, provided they are large enough to scale without losing quality.

Exhibitor Portal

Upload the following items via the e-Health26 Exhibitor Portal:

  • Organization name for booth header panel (maximum 22 characters, no logos)
  • Preferred URL (the website you want people to visit when they click your logo on the e-Health website)
  • 50-word organization description (this will appear in the conference app)
  • Certificate of Insurance – $5M CAD in general liability. If you are unsure how to obtain a certificate of insurance, we recommend sourcing one from Duuo.

EXHIBITOR PORTAL

General Contractor

Insurance

Exhibitors on the trade show floor, in the Academic Zone, and in the StartUp Zone must carry $5,000,000 (five million dollars) in liability insurance. The exhibitor shall obtain and upload a certificate evidencing the required insurance no later than 30 days prior to the event. Use the Exhibitor Portal to upload your Certificate of Insurance.

  • Certificate of Insurance – $5M CAD in general liability. If you are unsure how to obtain a certificate of insurance, we recommend sourcing one from Duuo.

Exhibitors assume entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to exhibitor’s displays, equipment, or other property brought upon the premises of the venue, and agree to indemnify, defend and hold harmless the e-Health Conference, the venue, and its reasonable attorney’s fees, arising out of the use of the venue premises, excluding any liability caused by the negligence of the group or the venue or its owners, servants, agent and employees. The exhibitor understands that neither e-Health Conference nor the venue maintains insurance covering the exhibitor’s property or lost revenue and it is the sole responsibility of the exhibitor to obtain such insurance. Exhibitors are responsible for the placement and cost of insurance related to their participation in the show.

Internet

Free Wi-Fi will be available on-site, but if you require a faster connection or more bandwidth, you can request a dedicated internet connection through the Global Convention Services Ltd. order form or by emailing info@globalconvention.ca. Both wired and wireless options are available.

Lead Retrieval

Exhibitors can use their phones to scan QR codes on booth visitors’ badges. The lead list can be exported into a spreadsheet at any time and shared with your colleagues through email. Exhibitors can further obtain insights about leads through their profiles in the conference app, and interact with them during and after the event. Lead retrieval instructions will be available closer to the event date.

Material Handling

  • To expedite the move-in process we highly recommend sending all materials to GCS
  • GCS will provide all forklifts and equipment for move in and move out
  • Shipments to arrive during scheduled delivery dates provided, during normal business hours of 9:00 am – 4:00 pm, Monday – Friday.
  • Additional material handling and delivery charges will apply to shipments received before or after selected dates.
  • Service includes storage of freight during specified dates, delivery to booth, removal and return of empty containers, reloading of shipment from booth onto designated outbound carrier.
  • Material Handling Form must be submitted at least 14 days prior to show.
  • Collect shipments will not be accepted.
  • All shipments must be clearly marked with number of pieces, shipping address, show name, company name, and booth number.
  • All pieces on a skid must contain a shipping label in the event the freight gets removed from the skid by your freight carrier.
  • GCS weight estimates are final and binding unless weigh scale tickets are provided at time of receipt of shipment.
  • Minimum 200 lb. charge will apply to shipments weighing less than 200 lbs.
  • Billing is based on a per shipment received. Avoid additional fees by shipping all freight together.
  • International Shipping: Customs paperwork, and any associated charges, are the sole responsibility of the exhibitor. Refer to ExpoExpress Shipping and Customs Info for more information.

Samples and Gifts

Exhibitors are welcome to display company products, distribute educational material, provide giveaways of minimal value that have been pre-approved by e-Health Conference, and distribute non-pharmaceutical samples.

Large food items are not permitted, unless they are prepared by the Halifax Convention Centre kitchen team. Smaller food items, such as wrapped candy, mini snack bars, mini/individual bags of chips/pretzels/popcorn, energy drinks, and individually wrapped mini baked goods (cookies, brownies, biscotti), are permitted.

Order-taking at an exhibitor’s booth or table is prohibited.

Halifax Convention Centre is the sole provider of food & beverage for the facility.

Cooking is permitted in exhibit booths when food or food equipment products are featured in the event, and with advance written approval from the Halifax Convention Centre. Please note the following:

Devices producing open flames are not permitted in the facility. Acceptable cooking devices are: induction heaters, hot plates, element burners. Fuel must be a contained propane/butane cylinder with auto shut off or device must be powered by electricity. Deep fat fryers are prohibited. Frying equipment (pans) must be equipped with a grease shield. A fire extinguisher with a minimum rating of 20 lbs, type ABC, must be displayed in each booth that features cooking. Only one (1) propane tank is permitted in a booth at a time. Additional tanks must go to a designated storage area. Please note equipment that does not meet these standards will be removed from event space.

Shipping

A material handling charge based on CWT (per 100 lbs. with a minimum 200 lb. charge) will be applied for any exhibitor freight handled by GCS. Rates are per shipment received. Avoid additional fees by shipping all freight in one shipment.
