e-Health26 Exhibitor Information
Global Convention Services (GCS) is the Official General Service Contractor for the e-Health26 Conference and Tradeshow.
EXHIBITOR KIT [link required]
Booth equipment
Each 10′ x 10′ booth space includes the following:
- Black pipe and drape: 8’ high backwall and 3’ high sidewall
- One 6’ black skirted table
- Two padded conference chairs
- One waste basket
- One 7” x 44” Booth ID sign (black uppercase font – no logo)
- One 4” x 6” booth identifier on the floor in front of the booth
Note: Carpet, electricity, and wired internet are available for an additional cost. If you would like to add any of these services, we’d be happy to provide more details and assist with the process. If you need any extra furnishings or services, please take a look at the rental items and special options available here [link required]. Electrical is not included in booth. Electrical services can be ordered through GCS (Exhibitor Order Form – Electrical). Onsite storage is limited to under-table space. Should you have larger storage needs, please contact GCS [link required].
Academic Zone Kiosks include the following:
- 1 white counter size 2 metres wide x 1.5 metres high (78.74 inches wide x 39.37 inches high) with sliding door access and customized branding
- 1 wastebasket (stored inside counter out of site)
- 2 black fabric bar stools

Booth rigging
Booth rigging is allowed at Halifax Convention Centre. Please contact GCS (Exhibitor Order Form – Electrical).

Electricity and wired internet
- Electricity is not included with your booth rental. If your display needs power, you can order this service by completing an order form (Exhibitor Order Form – Electrical) or by emailing [link required].
- Free Wi-Fi will be available on-site, but if you require a faster connection or more bandwidth, you can request a dedicated internet connection by completing an order form (Exhibitor Order Form – Internet) or by emailing [link required]. Both wired and wireless options are available.

EXHIBITOR ORDER FORM [link required]
Exhibit carpet
The exhibit floor will be carpeted in ballroom grade carpeting.
Additional carpet may be ordered through GCS [link required] to complement booth space. If ordering carpet in a booth space that has carpeting, the carpet will shift or stretch if heavy items are dragged across it. This may result in bubbling of the carpet creating safety concerns due to tripping. If you are aware this will occur in your booth due to the nature of your display, please connect directly with GCS [link required] prior to ordering to discuss appropriate labor options to ensure safe carpet install for your booth.
Exhibitor badges/booth staff registration
- Exhibits must be staffed at all times during the trade show hours and representatives must wear the official conference badge while in the exhibit area.
- Each booth staff member must be registered individually.
- Exhibitors receive 2 complimentary exhibitor badges per booth (1 booth = 2 free badges / 2 booths = 4 free badges). Use the ‘Exhibitor Staff’ registration code provided to register 2 staff members per booth.
- Up to 4 additional staff members may be registered at a discounted rate of $725 plus tax per individual if purchased between January 6 – February 28, 2025 | $795 plus tax per individual if purchased between March 1 – May 31, 2025 | $845 plus tax per individual if purchased onsite between June 1 – June 3, 2025. Each exhibitor may register a maximum of 4 additional staff members at this discounted rate, regardless of number of booths purchased (1 booth = 4 discounted badges available for purchase / 2 booths = 4 discounted badges available for purchase).

Exhibitor Portal
Upload the following items via the Exhibitor Portal:
- Organization name for booth header panel (maximum 22 characters, no logos)
- Preferred URL (the website you want people to visit when they click your logo on the e-Health website)
- 50-word organization description (this will appear in the conference app)
- Certificate of Insurance – $5M CAD in general liability. If you are unsure how to obtain a certificate of insurance, we recommend sourcing one from Duuo.
Exhibitor Logo
Please email a high-resolution version of your logo suitable for large-scale printing to communications@e-healthconference.com Ideally, this should be a scalable vector file (such as .AI, .EPS, or .SVG). If a vector file is not available, we can also accept high-resolution .JPG, .PNG, or .PDF files, provided they are large enough to scale without losing quality.
Exhibitor samples and gift-giving
- Exhibitors are welcome to display company products, distribute educational material, provide giveaways of minimal value that have been pre-approved by e-Health Conference, and distribute non-pharmaceutical samples.
- Alcohol and large food items are not permitted. Smaller food items, such as wrapped candy, mini snack bars, mini/individual bags of chips/pretzels/popcorn, energy drinks, and individually wrapped mini baked goods (cookies, brownies, biscotti), are permitted.
- Order-taking at an exhibitor’s booth or table is prohibited.
Insurance
Exhibitors on the trade show floor, in the Academic Zone, and in the StartUp Zone must carry $5,000,000 (five million dollars) in liability insurance. The exhibitor shall obtain and upload a certificate evidencing the required insurance no later than 30 days prior to the event. Use the Exhibitor Portal to upload your Certificate of Insurance.
Exhibitors assume entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to exhibitor’s displays, equipment, or other property brought upon the premises of the venue, and agree to indemnify, defend and hold harmless the e-Health Conference, the venue, and its reasonable attorney’s fees, arising out of the use of the venue premises, excluding any liability caused by the negligence of the group or the venue or its owners, servants, agent and employees. The exhibitor understands that neither e-Health Conference nor the venue maintains insurance covering the exhibitor’s property or lost revenue and it is the sole responsibility of the exhibitor to obtain such insurance. Exhibitors are responsible for the placement and cost of insurance related to their participation in the show.
Lead retrieval
Exhibitors can use their phones to scan QR codes on booth visitors’ badges. The lead list can be exported into a spreadsheet at any time and shared with your colleagues through email. Exhibitors can further obtain insights about leads through their profiles in the conference app, and interact with them during and after the event. Loading dock restrictions
- Dock times must be pre-booked by emailing [link required]
- Availability of dock times will be based on scope of build and request time.
- Requests will not be considered until material handling orders are completed online.
- Due to limited move in times use of advanced shipment is recommended.
- Hand-carry items are limited to one trip through venue. Pump trucks and dollies will not be available at this location.

Shipping
The Halifax Convention Centre will not accept any shipments larger than 3 ft. x 3 ft. prior to the event. Instead, items should be sent to [link required]. Exhibitors are responsible for the costs associated with advanced shipping services.
Advance Shipments to [location]
To send items before the event, please ship them to [location].
Exhibitors will be responsible for the costs of advanced warehousing services.
- Complete the Advanced Warehouse form [link required] and make the necessary payment.
- If your shipment exceeds one regular-sized skid (4 x 4 x 4), book dock time.

The advanced warehouse will accept shipments from [date required]. Please note that shipments sent directly to the advanced warehouse without a scheduled dock time may be subject to receipt or rejection based on dock availability.
Customs broker and logistics
GCS and partners will offer customs brokering and logistics service to show management and exhibitors who require these services. GCS’s partners will assist in registering your show with Canada Customs (CBSA) for ease of shipping for you or your exhibitors in and out of Canada.
