Important dates and deadlines
- Advance price deadline for additional show services (orders must include full payment): May 17, 2023
- Advance shipments may begin arriving at the warehouse: April 27, 2023 – May 20, 2023. Shipments should arrive on or between business days and hours 9:00 am-4:00 pm (closed holidays). Shipments arriving before Thursday, April 27, 2023 will incur a storage fee, and shipments arriving after Saturday, May 20, 2023 will incur a late to-warehouse fee.
- Last day for advance shipments to arrive at the warehouse: May 20, 2023
- Direct shipments may arrive at the show venue: May 27 and 28, 2023
- Exhibitor move-In: May 27, 2023 from 8 am – 6 pm and May 28, 2023 from 11 am – 3 pm
- Show hours: May 29, 2023 from 10:00 am – 4:30 pm and May 30, 2023 from 9:30 am – 4:00 pm
- Exhibitor move-out: May 30, 2023 from 6 pm – 11:59 pm

Move-in details
- Please bring your own dollies for loading/unloading.
- Forklifts ARE NOT ALLOWED throughout Beanfield Centre. The use of hand/electric pumps is allowed.
- Beanfield Centre indoor parking garage has a 6’10” height restriction
- Parking is free during move-in and move-out ONLY in designated lots
- Parking is not permitted around the building, including the loading docks. If you are unloading, then you are required to immediately move your vehicle to the designated parking lot. Vehicles that are parked in undesignated areas will be tagged/towed at the owners’ expense.

Directions
The Beanfield Centre is located on the Exhibition Grounds at 105 Princes’ Blvd, Toronto, ON M6K 3C3.
- From the East, Take the Gardiner Expressway west to Spadina/Lake Shore Boulevard cutoff and follow the signs for Lake Shore Boulevard. Take Lake Shore Boulevard to Strachan Avenue and enter via Manitoba Dr. (just north of the Princes’ Gates).
- From the West, Take the Gardiner Expressway east to Lake Shore Boulevard. Stay on Lake Shore Blvd. West. There are three entrance points (at the traffic lights) to Exhibition Place from Lake Shore Boulevard – British Columbia Road, Ontario Drive and Newfoundland Drive.
- From Pearson International Airport, Exit 427 south to Gardiner Expressway East. Take the Gardiner Expressway east to Lake Shore Boulevard. There are three entrance points (at the traffic lights) to Exhibition Place from Lake Shore Boulevard – British Columbia Drive, Ontario Drive and Newfoundland Drive.
- From City Centre Airport Take Bathurst Street north to Lakeshore Blvd. West. Take Lake Shore Boulevard West, turn north on Strachan Avenue and enter via Manitoba Dr. (just north of the Princes Gates), or turn North onto Fort York Road, and west at the lights on to Strachan Avenue into Exhibition Place.

Parking regulations
- Parking is free during move-in and move-out ONLY in designated lots
- Single-day passes are NOT available. Single-day parking can be purchased at kiosks on-site at the daily posted rate.

Order a show parking pass
- Log in or sign up at the Exhibition Place Exhibitor Services portal link below
- Ordering: In the quantity box, please enter the number of full show passes required. ONE pass per vehicle. Plate numbers to be written directly on the pass. (Ex: enter a quantity of ‘1’ for one vehicle covering all show days).
- Picking Up: Exhibitor Parking Passes can be picked up at the Exhibitor Services office located adjacent to the Salon 106 entrance near Hall B

Extras: Audio-visual
- Encore is the official audio-visual supplier.
- All audio-visual work, including the loading/installation/running of equipment/dismantling and filming in booths, must be performed by Encore.
- These services are provided exclusively by Beanfield Centre IATSE Union Labour.
- Exhibitors are responsible for labour costs to install rented monitors; if owned by exhibitors, they are allowed to install them on their own.

- Electricity is not included in your booth rental. If you require dedicated electricity, please order it using the link below.
- All electrical for exhibitor booths must be ordered and performed exclusively through Exhibition Place – Showtech Power & Lighting.
- All equipment must be three-prong cords & ESA approved.

Extras: Wifi
Wifi is complimentary throughout the Beanfield Centre – no password is required. Additional wifi services can be ordered at the link below.

The exhibit floor is carpeted. Additional carpeting for your booth can be ordered at the link below.
Extras: Furnishings
Your booth comes with one 6’x2’ table, two chairs, and one waste basket. Additional furniture for your booth can be ordered at the link below.
Extras: Signage
- Your booth includes a booth header panel with a company name (Maximum 22 characters. No logos).
- Please do not adhere anything to furniture/walls/floors/windows/doors or railings. All signage needs to be self-supported. All fire hose cabinets, emergency exits and lights, and all pull stations must be kept clear and accessible.
Shipping and deliveries
- Contact the GES Logistics team to manage the shipping and logistics process for you. GES is committed to providing high-level service while maintaining competitive rates & to providing an expert team you can depend on.
- If shipping directly to Beanfield, shipments can be received between Saturday, May 27th – Sunday, May 28th, 2023 to the event between the hours of 8:00 am – 4:00 pm.
- Please ensure to use Shipping Label supplied by show management to ensure your package arrives to the correct location.
- Please address all direct shipments to the venue as follows: GES c/o e-Health Annual Conference and Tradeshow | Exhibiting Company Name | Booth # ____________ | Beanfield Centre, 105 Princes’ Boulevard, Toronto, Ontario, M6K 3C3, Canada
- Beanfield Centre will not accept COD, customs clearance or accept packages without the proper information attached (Shipping Label).
- Beanfield Centre is not responsible for lost or misplaced packages.
- It is the responsibility of the client/exhibitor to arrange their own courier/waybills to have materials picked up immediately following the event. We will not hold shipments after 48 hours – they will be disposed of.

Booth installation services
GES Canada is the official general services contractor and the official customs and transportation provider.
Insurance
Exhibitors assume entire responsibility and liability for losses, damages and claims arising out of injury to persons or damage to exhibitor’s displays, equipment, or other property brought upon the premises of the venue, and agree to indemnify, defend and hold harmless the e-Health Conference, the venue, and its reasonable attorney’s fees, arising out of the use of the venue premises, excluding any liability caused by the negligence of the group or the venue or its owners, servants, agent and employees. The exhibitor understands that neither e-Health Conference nor the venue maintains insurance covering the exhibitor’s property or lost revenue and it is the sole responsibility of the exhibitor to obtain such insurance. Exhibitors are responsible for the placement and cost of insurance related to their participation in the show. Exhibitors must carry 5 million in liability insurance. The exhibitor shall obtain and produce a certificate of insurance evidencing the required insurance and send to show management no later than 30 days prior to the event.
Exhibitor samples, raffles, and gift-giving
- Exhibitors are welcome to display company products, distribute educational material, provide giveaways of minimal value that have been pre-approved by e-Health Conference, and distribute non-pharmaceutical samples.
- Order-taking at an exhibitor’s booth or table, delivering items to delegates’ rooms, collecting the names of conference attendees for the purpose of distributing gifts or prizes, or holding a giveaway or raffle are all prohibited practices.
- Beanfield Centre is LEED Silver Certified—plastic water bottles are not permitted.
Lead retrieval
Without needing a separate device or a learning curve, exhibitors can use their phones to scan QR codes on booth visitors’ badges. The lead list can be exported into a spreadsheet at any time and shared with your colleagues through email. Exhibitors can further obtain insights about leads through their profiles in the conference app, and interact with them during and after the event. Exhibitor badges
- Exhibits must be staffed at all times during the trade show hours and representatives must wear the official conference badge while in the exhibit area.
- Your exhibitor package includes two complimentary exhibitor badges (includes conference materials plus access to the welcome reception, refreshment breaks, and lunches). Please contact registration@digitalhealthcanada.com to register as an exhibitor.
- Additional badges (maximum of 4) are available to purchase for $500.00 (plus taxes) per badge. Please contact registration@digitalhealthcanada.com to purchase additional exhibitor badges.
